Who would have access to the notes taken during a structured interview? Who should be allowed to view the notes?
In general, the hiring manager and other senior personnel involved in the hiring process will have access to the notes. Please keep in mind the notes are kept as part of the case file record and considered documentation of the hiring process. If the process or hiring decision is challenged, the notes may be reviewed during litigation (i.e., be discoverable).
As a result, it is essential that all interviewers are trained to record notes in a professional and appropriate manner. Notes should describe the applicant’s answers to the questions and not their personal traits or the interviewer’s perception of the individual. Also, notes should be of sufficient quality and quantity to document the rating given.
